September Trucking Compliance Checklist: A Practical Guide for Motor Carriers

September is a great time for motor carriers to take a closer look at their compliance records and make sure everything is organized for the months ahead.

Between IRP renewals, DOT requirements, quarterly IFTA filings, and state-specific permits, trucking companies have a lot to keep track of throughout the year. When several requirements overlap, it can be easy for an upcoming renewal, missing record, or required update to get overlooked.

The good news is that staying compliant doesn’t always require waiting for a deadline.

Staying ahead of compliance requirements can make running a motor carrier business much easier. This trucking compliance checklist covers four important areas to review this September: IRP renewals, DOT information, IFTA records, and operating permits.

1. Review Your Upcoming IRP Renewal

If your IRP renewal is approaching, September is a good time to make sure you’re prepared.

The International Registration Plan (IRP) allows qualifying commercial vehicles operating in multiple jurisdictions to register through their base jurisdiction and have registration fees apportioned based on their operations.

Because IRP renewals involve information about your fleet and operations, preparing ahead of time can make the renewal process much easier.

Your IRP check-in should include:

  • Confirming your upcoming renewal date
  • Reviewing the vehicles currently listed in your fleet
  • Identifying vehicles that have been added, removed, or replaced
  • Making sure your fleet information is accurate
  • Gathering any documentation needed for your upcoming renewal
  • Addressing changes before the renewal process begins

You don’t necessarily have to figure all of this out by yourself.

At Royal Carrier Service, we review your fleet details as part of the IRP renewal process and help determine what information and documentation are needed. That means you don’t have to sort through your fleet information on your own before coming to us.

The goal is simple: prepare early so your renewal doesn’t become a last-minute project.

2. Make Sure Your DOT Information Is Current

Your DOT information should reflect your company’s current operations.

Businesses change over time. You may add vehicles, change contact information, modify your operations, or make other changes that affect the information associated with your company.

September is a good opportunity to ask: Does the information on file still accurately represent my business today?

Review areas such as:

  • Company information
  • Business and mailing addresses
  • Contact information
  • Fleet information
  • Type of operation
  • Other operational information associated with your DOT record

👉If something has changed, determine whether an update is required.

FMCSA requires entities under its jurisdiction to update their information every two years, even when their company information has not changed.

FMCSA biennial update requirements

Keeping your information current isn’t just good organization. Accurate records help ensure that the information associated with your motor carrier operation reflects how your business actually operates.

👉If you’re unsure whether a recent change requires an update, it’s better to check rather than assume nothing needs to be done.

3. Organize Your IFTA Mileage and Fuel Records

Don’t wait until the end of the quarter to start thinking about IFTA.

Accurate mileage and fuel records are an essential part of preparing an IFTA return, and staying organized throughout the quarter can make filing significantly easier.

Trying to reconstruct weeks or months of travel and fuel purchases at filing time can create unnecessary work and make it harder to identify missing information.

Instead, make recordkeeping part of your regular routine.

Your September IFTA check should include:

  • Mileage records
  • Jurisdictions traveled
  • Fuel purchases
  • Fuel receipts
  • Supporting documentation
  • Any records needed to prepare your quarterly return

Take a moment to look at the records you’ve accumulated so far.

Are they complete? Are they organized? Is anything missing?

Finding a missing receipt or incomplete mileage record now is much easier than discovering the problem when you’re ready to file.

👉Remember: organization throughout the quarter matters.

Rather than treating IFTA as something you only think about four times a year, maintaining your records as you go can make each quarterly filing smoother.

4. Verify Your Required Operating Permits

Operating in different states can bring additional requirements.

The permits your trucking company needs can depend on where your vehicles travel and the type of operations you conduct. If you’ve recently added routes, expanded into another state, or changed how your company operates, your permit requirements may have changed as well.

Ask yourself:

  • Are all of my current permits active?
  • Have any permits expired or approached renewal?
  • Have my routes changed?
  • Am I operating in any new states?
  • Do those states have additional requirements that apply to my operation?

Depending on where your trucks operate, state-specific requirements may include permits or credentials such as New York HUT, Kentucky KYU, New Mexico Weight Distance Tax, Connecticut Highway Use Fee requirements, and other applicable state permits.

The important thing isn’t to obtain every permit available. It’s to make sure you have the correct permits for where and how your business operates.

If your routes change, checking permit requirements before operating in a new jurisdiction can help prevent compliance issues later.

Why a Monthly Compliance Check-In Helps

Compliance management becomes much easier when it isn’t treated as something that only matters when a deadline arrives.

A short monthly review gives you an opportunity to identify upcoming responsibilities while there’s still time to address them.

Think of it as preventive maintenance for the administrative side of your trucking business.

You routinely inspect and maintain your equipment rather than waiting for something to fail. Your compliance records can benefit from the same mindset.

A monthly check-in can help you:

  • Identify upcoming renewals
  • Catch missing records
  • Notice information that needs updating
  • Prepare documentation ahead of time
  • Review changing permit needs
  • Reduce last-minute filing pressure

Not every month will require action in every category.

That’s okay.

0The purpose of the check-in is to know where you stand.
